What are advantages to having my pre-printed forms produced at Standard Printing Company?

Housed in the same 40,000 square foot facility is our parent company, Standard Printing Company (SPC), which excels in the printing of custom business forms and marketing materials. All pre-printed forms will be produced on site, which means there are no shipping or warehousing fees. SPC maintains the same level of commitment to quality as Information Outsource, and by managing all processes under the same roof, we are accountable for the process from start to finish.

Custom Programming

What is custom programming?

I/O has a full time staff of professional software developers who create the custom programs used to process customer data. Because each customer has unique requirements, each application is set up as an individual program, which can be tweaked according to your changing needs.

Our solutions provide additional reporting capabilities, better information flow, customized output, and less customer confusion. I/O's development staff is used continually to augment your Management Information Systems (MIS) staff. I/O allows you to leverage the MIS staff time by focusing on core business needs. Our development staff will save MIS time, increase MIS efficiency and lower MIS cost.

What data formats do you support?

Data types accepted include ASCII print image, ASCII text, ASCII delimited, ASCII fixed length, DBF, CSV, XML and SQL.

How secure is the data I provide you?

Each customer receives a unique username and password for our FTP site, and has access to only their directory. As added levels of security, we maintain a locked server room and require user authentication on all workstations with no guest accounts. Firewall protection exists on all server, as well as scheduled clearing of data files. Data clearing is done once per minute on the web server, and once data is cleared, it is moved to the Production Servers, where it is identified and processed.

How do I send you my data?

Data transmissions are accepted via FTP over the Internet. (SSH and SSL encryption is also available).

Laser Imaging

What is Laser Imaging?

Laser Imaging produces a sharper and darker image than dot matrix, which creates a better image. This prestigious format leads to higher respect and sales. Laser Imaging allows many printing features unavailable on other printers including:

  • Condensed Font printing, which allows more information to be imaged on a sheet; saving paper & postage.
  • 2,500 fonts available, which offers legible copy, less customer confusion and leads to faster cash flow, lower labor cost and greater customer service.
  • Full graphic capability allows one paper to be used for different applications or customers, lowering material costs
  • Image face and back of forms; saves paper and lowers envelope weight- which lowers material & postage cost
  • MICR toner used; eliminating pre-MICRed checks, allowing multiple checking accounts to be run on one base stock, also allows consecutive numbers to be any number series- which lowers material & labor cost
  • Barcodes can be imaged. Barcodes can be used to automate data processing and increase processing accuracy, which lowers internal processing labor cost and will lower lock box fees

What size paper can I use?

I/O can image 8.5 X 11, 8.5 X 14 or 11 X 17 paper and 20lb or 24lb weight.

Postal Automation

What is Postal Automation?

Postal Automation is a set of standards called CASS "Coding Accuracy Support System". CASS was developed by the USPS to create uniform address standards through the entire postal system. CASS, Delivery Point Validation (DPV) and Locatable Address Conversion System (LACSLink) are required by the USPS for automation discounts.

I have small mail batches. Can I still get a postal discount?

In order to obtain any postal discount you must have a minimum of 500 automated pieces of mail every time you drop mail. I/O can pass on automated postage discount on any size mailing by merging them with other mail streams for submission to the USPS.

Do you do address verification?

I/O processes each job for mailing using USPS certified software. Our standard process runs CASS, DPV and LACSLink verification prior to performing presort verification on all jobs larger than 500 pieces. Presort verification sorts mail into specific zip code order for additional postal discounts based on saturation within an area.

  • CASS -The Coding Accuracy Support System is a service of the USPS for evaluating the accuracy of address matching software with respect to zip codes and carrier routes. CASS certification requires achieving a specific accuracy level and provides discounted mailing rates.
  • DPV -Delivery Point Validation enhances ordinary address validation by confirming the existence of a specific address and the fact that it can be delivered to.
  • LACSLink - Locatable Address Conversion System (LACS) is used to provide computerized address list correction for addresses in areas affected by rural route and box numbers to city-style address conversion, and city-style to city-style address conversions. LACS provides mailers an automated method of obtaining new addresses when a 911 emergency system has been implemented. The 911 address conversions normally involve changing rural-style addresses to city-style addresses, but in some instances conversions may result in the renaming or renumbering of existing city-style addresses.
  • NCOALink - National Change of Address is the process in which individuals and businesses notify the post office of a move. The NCOALink Product matches names and addresses on your mailing list against changes of address filed with the USPS® by relocating postal customers. When the name and address information on your mailing list matches the name and address information on the NCOALink file, a new address will be returned. The database of address changes is maintained by the U.S. Postal Service® and is licensed to vendors.

What happens to return mail?

Return mail will process as the service endorsement on the envelope dictates. I/O can supply "Return Service Requested", "Address Service Requested" and "Forward Service Requested" envelope endorsements at no additional cost.

Intelligent Inserting

What is Intelligent Inserting?

Our inserting machinery is equipped with optical readers which enable "Intelligent Inserting". An Optical Read Mark is imaged on each form and when scanned by the inserter, lets it know whether that sheet is to be inserted alone or with subsequent pages and other collateral information. This ensures that the correct pieces are mailed each and every time.

How many pieces can I insert into one envelope?

I/O's inserting equipment can automatically insert six variably imaged pages in the same envelope. When an envelope contains more than six variably imaged pages they are inserted by hand into a 9 X 12 envelope.

Data Verification

What is Data Verification?

I/O will print, insert & mail a file following, in partnership with you, a verification process. Verification may be done via fax or email. Our reporting information contains Control totals (a count of pages/records/customers in the file); sample output from the raw data file, an unrecognized address report and any specially requested reports. After the customer confirms that all totals and samples are correct, I/O will completes the laser imaging, inserting and mailing of the job.

What is Data Archival?

Data Archival is the ability to retrieve, view, print and/or fax previously printed information. I/O offers data archival in the form of hard copy output, CD or electronically via the Internet.

Electronic Bill Presentation

I/O recognizes that bringing the billing process online can generate tremendous cost savings for our customers.

According to published studies, electronic billing has increased 20% over last year, and by year's end, 32 million Americans, or 16% of the adult population, will view bills and manage creditor accounts online. That number is expected to increase in the future.

Information Outsource builds custom, branded administrative and customer sites, which allow your customers to view, manage and print their bills through a web interface. The administrative site allows your customer service representatives to search, reference and reprint bills as required. It also serves as an online data archive.

How secure is the data when presented online?

When a customer views their EBP servers they will be connecting using SSL encryption. SSL encryption is one of the most powerful security tools available on the internet. I/O uses 128-bit encryption, which has become the standard level security used on the Internet.

Can I still get a hard copy of the information?

Hard copies of all information are available. I/O can sort, image and return in any manner required by the customer. I/O's imaging capability will save hours of sorting and distribution time for hard copy archival.

Disaster Recovery

What happens in the event of an emergency, or if I/O is unable to process my mail?

Information Outsource has a number of redundant systems to keep us operational in the event of a disaster, emergency or loss of information.

We have off-site imaging and inserting capabilities through a partner organization. Our agreement with this partner allows us to image data and insert pages into envelopes until we can have a facility back up and running. In any instance of an outage, there would be no delay in mail time, and all agreed upon timelines would be met.
